Role of the Club Secretary
The Club Secretary is the central figure of the club. Everything evolves around this position with all communications to and from the club go through the secretary.
The Secretary organises, and arranges the dates for the CMC and Executive Meetings and the AGM. The secretary also ensures that the agenda and minutes of the meetings are duly circulated. However, it is not necessary for the secretary to take the minutes of the meetings, as the club is not opposed to having a Minutes Secretary to take the minutes and type them, as this is a huge job that takes such a large amount of the secretary’s time.
The secretary should attend all important meetings both internal and external eg. Kent County and London Region meetings and AGMs. They should also attend the various League meetings and AGMs, but in practise the Championship Secretary will often attend these in place of the secretary so as to be familiar with any changes that it is necessary for them to know. I see the role of the secretary as a mail box, passing on all communications to others in the club, but always being very aware of what is going on. Recently, due to lack of help on the committee this role has encompassed more than is really necessary rather than delegating the various tasks out. e.g. Swim 21 accreditation could be delegated. I would suggest to the Training Secretary or to an Assistant Training Secretary as a one off job.
Most of the internal queries that come before the secretary should be acknowledged and then discussed at the next committee meeting rather than the secretary taking on the problem in isolation. I would suggest that this also covers any queries from members and coaches alike.

The Good Club Guides have been created to support the ASA’s Club Development programme swim21. They are intended to complement swim21, by providing tools, templates and resources that will assist the running of a club, and ultimately assist in working towards or maintaining swim21 accreditation.
